We are Presscloud and we respect your privacy and privacy. In this statement you can read which data we use, for what purposes and how we process and protect this data. This privacy policy applies to our website www.presscloud.ai (the "Website") and the services we offer (the "Services"). We treat your personal data in accordance with the General Data Protection Regulation.

In this statement we focus on the processing of personal data when you are a journalist in our database and anyone who uses the services of Presscloud as a customer.

Younger than 16 years old

If you are under the age of 16, you need your parent's or legal guardian's permission to use our Website and Services.

Personal data

We process personal data in order to be able to offer our Website and Services. The GDPR states that personal data is all information about an identified or identifiable natural person. This means that information is either directly about someone or can be traced back to this person. Data about organizations is therefore not personal data according to the GDPR, but data from employees or a journalist as a freelancer is, on the other hand. Processing personal data is any action that an organization can perform with personal data. This is a very broad term, from collection to disposal. Presscloud processes personal data and handles it responsibly, so that all processing operations meet the requirements of the GDPR.

Foundations

We can store your data at various times, such as when you visit our website, create an account on our website, use our services (such as requesting a webinar or downloading an e-book) or when you contact us record. In addition, we need your data to execute the agreement between you and us. If you choose not to share your data, you will not be able to use the services we offer with Presscloud.

Furthermore, we will not process your data without your permission, unless we are legally obliged to do so.

When we approach you as a journalist via a professional email address that we have found from public sources on the internet, we base this processing of personal data on the grounds of legitimate interest within the meaning of the GDPR. Our aim is to enable you as a journalist to benefit from Presscloud in a way that contributes to the performance of your profession. When you are included in our database, PR agencies can find you more easily. You can also indicate within Presscloud that you will only receive those press releases that relate to your field and what kind of press releases you specifically do not want to receive. For example, both we and Presscloud benefit from including you in our database and you are easier to find as a journalist for relevant press releases from PR agencies. Because it also concerns professional (business) personal data that can generally be found easily online (for example via the colophon of the medium for which the journalist works), there is a fair balance between the interests involved. Naturally, in every email he / she receives, the journalist has the option to oppose receiving press releases and to unsubscribe from these mailings. We do not want to oblige you to anything, so you can easily indicate that you no longer want to be approached by us.

What data do we collect and what do we do with it?

To use our website and services, we need the following information from you. In this we make a specific distinction between the data of journalists in our database and data of the contact person of the company who uses Presscloud.

Journalists
  • First and last name - used to give press releases a targeted salutation and thus indicate within a media company which journalist is dealing with a particular topic
  • E-mail address - used to send relevant press releases to the journalist
  • Phone number (optional) - used to contact the journalist to further explain the press release
  • State and city - used to send more targeted press releases based on location (local and regional level) to the journalist
  • Your social media profiles (optional) - LinkedIn and Twitter are relevant social media channels for journalists. This way, customers can contact a journalist after opening a press release.

We collect business (personal) data from journalists when we think Presscloud is relevant to them. We obtain this data on which we approach journalists from public sources on the internet, such as the journalist's website or the medium for which he works. The database should only contain the data that is absolutely necessary for the purpose for which the database was set up, so we do our utmost for that. Certain information is necessary to create an account in Presscloud, such as first and last name. The journalist can also enter other optional data when creating an account, this is not required. The journalist always has the option to modify or delete data.

Contact person for companies / customers
  • Your company email address (optionally your personal email address with which you want to create an account for the use of Presscloud) - used to register you (username) and receive relevant information about our services
  • First and last name - used to give press releases a targeted salutation and thus indicate within a media company which journalist is dealing with a particular topic
  • Telephone number - used to give tips & tricks to make better use of our services
  • Job title (optional) - Used to know which department within the company is involved in PR
  • Profile picture (optional) - can be set if the contact person needs it of their own accord

This concerns business (personal) data that are used in the exercise of the professions of the journalist and the customer. This information is therefore of a business nature and is only intended for the distribution of relevant, non-commercial press releases. Our system is expressly not intended for sending mass mailings, promotional newsletters or any other commercial communication.

Login

We store the following information on your account: e-mail address, telephone number, company name, passwords, username. This way you do not have to enter this information again. We also save - for the convenience of your own account - the data of previous orders.

Social media

If you use social media functions on our website, the social media provider may send us information (according to its policy). This may include, for example, your name, profile picture, gender, friends lists and other information that you have made available. Don't you want this? Then change the privacy settings on your social media account.

If you indicate that you like an article, that article will appear on your social media account when you are logged in. When you land on a web page that uses social media plug-ins, your browser sends certain information to the provider of your social media account. We have no control over this data exchange.

Security

We are committed to protecting your personal information against loss, destruction, use, alteration or distribution of your personal information by unauthorized persons. This means that those who have nothing to do with your data cannot access it. We do this through the following measures:

  • Security of network connections with Secure Socket Layer (SSL), or a comparable technology
  • Access to the data is limited to the persons who need the data
  • When a data breach occurs, we will act according to our data breach procedure in accordance with the GDPR. This means, among other things, that if it concerns a leak worthy of mention, we will report it to the Dutch Data Protection Authority within 72 hours. We will also inform the data subject to whom the leaked data relates.

Retention period

We will not keep your personal information longer than we need it for the purposes we described earlier. We keep our database of journalists as up-to-date as possible and if we notice that certain information is no longer correct, we will delete / adjust it. Journalists can also submit a request for modification or deletion of his / her data. Then we will immediately adjust or delete this information.

Who do we share your personal information with?
Processors

It happens that other parties receive your data from us. We only share your personal data with parties that we use to send our newsletter, other mailings from Presscloud and with our payment service provider who processes the administration and payments. We agree a processor agreement with these parties in which we ensure that they handle your data carefully and only those data that are necessary to provide their service. These parties only use your data in accordance with the instructions we give and not for their own purposes.

Transfer of personal data

We strive to process your data only within the European Union. Outside the European Union, we only process your data if that country offers an adequate level of protection for your data. Without your permission, we will never pass on your data to other countries or to other parties than those mentioned above.
